Authors are subject matter experts who work with Docrates AI to create and maintain expert systems. They upload reference documents, use the Docrates Assistant to refine logic through conversation, and build Transaction Types and Document Packages. No technical background required — Authors just know their business.
Administrators manage the organization's Docrates account — user invitations, role assignments, integrations (DocuSign, Salesforce, Box, SharePoint, Dynamics), and billing settings. Administrators have full Author and User access as well.
Users are the day-to-day operators who generate documents from existing expert systems — paralegals, enrollment coordinators, contracts administrators, and similar roles. Users access the interview and document generation side of the platform throughout the workday. They don't configure systems or manage accounts.
Contributors are external participants — such as brokers or distribution partners — who initiate transactions on behalf of their clients. Contributors are sold in pools of 10, making it easy to provision external networks at an effective rate of $10/seat per month.
Respondents are one-time transaction participants — clients, counterparties, new hires — who access Docrates via a secure, time-limited link to contribute their part of a specific transaction. Respondents don't create accounts and aren't expected to return after completing their part. Respondent access is unlimited and free at every tier, because metering it would create friction in workflows that depend on external participation.

When you reach your monthly transaction limit, Docrates gives you three options — set during account setup and adjustable from billing settings at any time.
Automatically move to the next tier when your limit is reached. You're notified by email and billed the pro-rated difference immediately.
Continue generating documents at $20 per additional 100 transactions. Billed at the end of the period based on actual usage.
Document generation pauses when your limit is reached. Your Administrator is notified to upgrade manually. This is the default for new accounts.
Your overage preference can be viewed and changed at any time from your account billing settings — no need to contact support. You'll receive email notifications at 80% and 100% of your monthly transaction limit so you're never caught off guard.
